How to Prioritize Your Life Efficiently

Hola Beauties! Life can be complicated when you have so much going on at the same time between work and life. There are moments when you don’t know how to organize your days and have time for the things that matter and are important to you. In this guide, you will learn How to Prioritize Your Life more efficiently and have more productive days.

Most people spend their days trying to finish urgent tasks, leaving behind the important ones. For example, you are going to your lunchtime, and a colleague calls you last minute for help. At this moment, you know the importance of having time off, but instead, you decide to help your co-worker, knowing this can affect the rest of your day and productivity ( Trust me, I have been there!).

We live in a world where everything is urgent, urgent emails, urgent calls, urgent stops ( no more milk or eggs), and we neglect our goals and dreams. Luckily, during many of the courses I have done about projects and task management, I came across an incredible tool created by Stephen Covey, The Time Management Matrix.

This tool is not only for projects, but you can also use it for anything, organizing your daily tasks, life goals, work activities, etc. The principle is to recognize what is urgent and important.

Okay, let’s jump and see in detail what this matrix means and how you can use it.

The time management matrix focus is divided into 4 quarters: Q1 Urgent and Important, Q2 Not Urgent and Important, Q3 Urgent and Not Important, and Q4 Not Urgent and Not Important.

Let’s examine each of these quarters and understand how to incorporate your tasks in each one of them.

1. Q1 Urgent and Important

These are the tasks that need immediate resolution; these are the tasks that represent a crisis, deadlines, sickness, and last-minute preparations.

You wouldn’t have more than 1 or 2 tasks in this quadrant since they consume a lot of energy and time. These tasks can take you away from those more important and pleasant tasks.

Example:

  • Take your kid to the doctor
  • Last-minute preparation for a test
  • Deadline to finish a project

2. Q2 Not Urgent and Important

These tasks will help you achieve your goals and personal growth. Ideas here include plans, preparation, prevention, etc.

This quadrant your be your main focus; here is where your fulfillment and happiness will show once you complete your expectations.

Example:

  • Saving money for a trip
  • Preparing a wedding
  • Taking a course
  • Work on relationships
  • Planning a work project

3. Q3 Urgent and Not Important

This is probably the quadrant where people spend most of their time. In this quadrant, interruptions come in place, calls, emails, meetings, etc. It’s really easy to mistake these tasks with Q1 ( Urgent and Important), but they are easier and faster to complete.

These tasks do not help you achieve your goals or dreams; they are mostly helping others. It would help if you determined how urgent these tasks are and their value to you.

Example:

  • Answering a last-minute call
  • Helping a colleague or friend with a task
  • Going to a last-minute “urgent” meeting
  • Sending an “urgent” email

4. Q4 Not Important and Not Urgent

Finally, we come to the ones that are more distractions; you can use this quadrant also to include tasks that can relax you, like going for a walk, watching a TV show, going on social media, etc.

Examples:

  • Irrelevant emails and calls
  • Worry about situations that you can not fix
  • Watching a show

Okay, Beauties, I hope this guide helps you better organize and prioritize your life, work, or any activity. This is an excellent technique that can take you to a better and more organized life if you understand and recognize what is available to you.

Remember to stay positive and work on your goals and dreams; put yourself first.
